Financial Advisor/Registered Representative

Administrative Receptionist

The purpose of this position is to answer in-coming calls to main switchboard and direct appropriately. As well as administrative task as administrative tasks as assigned.

Essential Functions:

Administrative:
  • Answer phone professionally and promptly
  • Greet Clients
  • Process outgoing and incoming mail.
  • Take Fed-Ex nightly to drop off
  • Retrieving/Sending email from/to Minnesota Life and Standard
  • Print mid-month and end of month E-Aspin paid cases report for each agent
  • On a weekly basis run repots for:
    • Cost of Living
    • Conservation
    • Vista Outstanding

Requirements

  • Order office supplies
  • Check file room for any needed supplies
  • Receive incoming orders and distribute supplies to individuals
  • Calculate agent postage charges
  • Schedule pick-ups when needed for the recycle bins.
  • Send in monthly copy count and call for maintenance on copy machine.
  • Track vacation and sick hours for staff every 2 week pay period and fax information to Home Office.
  • Fax time sheets to Home Office.
  • Prospectus upkeep; making sure that there is always a supply of prospectuses as well as the other mutual fund forms.
  • Order forms from Minnesota Life.
  • Keep track of the supply of printed material (North Star Letterhead, North Star Envelopes, etc.) and order as needed.
  • Take notes at Staff Meetings and email to the appropriate people.
  • Assist with other various office duties such as maintain supply of brochures for reception area, Keep reception area; lunchroom and conference room clean and orderly, Assist Staff as time permits Track – expenses – postage.

Mail

  • Distribute incoming mail and agency faxes.
  • Process out going mail
  • Orders supplies
  • Orders supplies from Minnesota Life and Ascend, checks stock, discards outdated forms.

Misc.

  • Other duties as assigned by management.

Required Skills and Experience:

  • High school diploma or GED.
  • 1 year office work experience.
  • Good computer skills.
  • Excellent verbal and written communication skills.
  • Excellent customer service skills.
  • Good organizational and demonstrated problem solving skills.
  • Attention to detail.
  • Self confidence.
  • Ability to work in a high stress environment.
  • Ability to coordinate multiple tasks and priorities.
  • Good knowledge of Insurance services, business and products is helpful.
